MINUTES OF THE ANNUAL GENERAL MEETING
HELD IN THE VILLAGE HALL on 27th May 2011 at 7.30pm

1. Apologies: Mr J Shipton (Internal Auditor)
2. The Minutes of the Annual General Meeting on the 21st May 2010 were approved and the Chairman signed them.
3. Precept. The Hon Treasurer confirmed that there had not been any late changes to the village finances since the meeting on 15 October 2010 so that he had been able to submit to Stratford on 12 January 2011 the precept application for 2011 -12 of £876 which had been approved by the Council.
Final Statement of the Accounts. The Hon Treasurer said he now needed the Council to approve the Final Statement for the previous year, 2010 -11, which would be used to prepare and accompany the Annual Return to the external auditor. He reported that the Internal Auditor had examined the accounts and had given his consent on 17 May 2011 that they were correct and suitable for the conduct of council business. The draft Final Statement was then circulated, considered and approved.
The Annual Return. The Honorary Treasurer reported that the public scrutiny period for the accounts had ended on the 19 May 2011 and that there had been no inquiries. The Hon Treasurer then led the Council through the questions required to complete the Annual Governance Statement and since there were no questions or dissent, the Chairman and Clerk signed the Statement. This completed the Return which he would sent to the External Auditor well before the required date.
4. Chairman’s Report – copy attached.
5. Council Officers Expenses – The Hon Treasurer reported that the Chairman had been paid £11.25 and the Hon Treasurer £6.53 expenses during the previous financial year. There were no questions.
6. Election of Chairman for 2011-2012: Brigadier J F Rickett was re-elected.
7. Election of Vice-Chairman for 2011-2012: Lt Col J B Henderson was re-elected.
8. Appointment of Parish Clerk for 2011-2012: Mrs H Seymour-Smith was re-appointed.
9. Appointment of Honorary Treasurer for 2011-2012: Capt J Castle was re-appointed.
10. Appointment of Internal Auditor for 2011-2012: Mr J Shipton was re-appointed.

11. Any Other Business:
a) the savings account was at the Post Office as Cheltenham & Gloucester don’t have a suitable savings account.
b) the MP was due to visit Long Compton on the 17th June.
c) Mr Hayman-Joyce mentioned that the trees on the Wolford Road need some t.l.c. The Chairman will ask Mike Hartman.
d) Councillor Gray thanked the Parish Council for their support over the last year. Councillor Saint is now the Leader of the District Council – although he still represents the County Council at Parish Council meetings.
12. Date of the next Annual General Meeting – to be announced at the next OGM in October.
